Job Description:
Responsibilities
- Product Release & Program Operational Execution (Veeva Clinical): Drive day-to-day operational program activities across product releases and program workstreams, ensure resource readiness, coordinate operational timelines, support release readiness activities, and follow-through to ensure smooth delivery (e.g., access readiness, training completion, resourcing status, and operational communications).
- Resource Onboarding & Offboarding: Coordinate onboarding and offboarding of internal and vendor resources, including ensuring required access is requested/removed, prerequisites trainings are completed, and stakeholders are informed of start/stop dates and readiness status.
- Training Assignment & Completion Management: Assign required training to Veeva Clinical resources, monitor completion, and follow up on overdue training to ensure resources remain compliant and ready to perform their roles.
- Quarterly Resource & Access Audits: Execute quarterly audits of resources supporting Veeva Clinical (e.g., active user lists, access/role alignment, training completion), document outcomes, and drive follow-up actions to closure to support compliance and audit readiness.
- Contract Follow-Up & Resource Status Tracking: Track resource status and contract timelines; follow up on contract renewals/expiration and related administrative actions and provide regular status visibility to stakeholders to support continuity of service.
- SOW/PO Routing & Vendor Follow-Up: Support routing and administrative follow-through for Statements of Work (SOWs) and related purchase order (PO) activities; proactively follow up with vendors and internal partners to confirm status, resolve gaps, coordinate contract reviews and support on-time execution of deliverables.
- Budget & Financial Coordination (High-Level): Provide high-level support for budget planning and tracking for the Veeva Clinical portfolio by partnering with portfolio/finance stakeholders to maintain a clear, consistent source of truth view of forecasts and actuals; ensure operational inputs (e.g., SOW timing, resourcing changes) are reflected appropriately.
- Proactive Risk & Issue Management: Proactively identify, track, and communicate operational risks and issues (e.g., resourcing, access, training, contract gaps) that may impact release and project delivery; coordinate mitigation plans with stakeholders and escalate as needed to protect timelines and service continuity.
- Central Liaison (Product Manager, Product Scrum Masters& Delivery Leads): Serve as a central liaison across the Product Manager, Product Scrum Masters, delivery leads, vendors, and business stakeholders to align timelines, coordinate resource needs, reinforce training adherence, communicate operational status, and manage dependencies impacting the Veeva Clinical solution.
Qualification & Experience
- Bachelor’s degree with 2-5 years of relevant experience, or Master’s degree with 3+ years of relevant experience, in Business, Information Systems, Life Sciences, or a related field (or equivalent experience).
- 2+ years of experience in operational leadership, service delivery, or platform operations supporting enterprise applications (preferably in a regulated environment).
- Experience supporting clinical technology solutions (e.g., CTMS, eTMF, Study Start Up, Site Connect) in day-to-day operations, administration, or business support.
- Demonstrated experience coordinating access and resource lifecycle activities (onboarding/offboarding), training assignment/completion tracking, and periodic user/access audits.
